Along with all of the important files on your computer that are vulnerable to corruption due to hard drive failure or other means, your email messages can be just as vulnerable. Because of the fact that email messages are rarely deleted, this can result in a user having a very large database. A database that is a large size will also consume significant amounts of memory on a computer. Making an email backup means that you don’t have to deal with slow computer issues, but are able to keep a running archive of your messages.

An email account that is web-based can avoid the data load on a user's computer. But many users would rather not store their information online, choosing instead to use an email program like Microsoft Outlook Express. Most email programs like this include an import/export feature that make it simple to ensure your messages are saved when you backup computer online. The best way to ensure the safety of email messages is to send exported messages to an external device, such as a flash drive, CD or external hard drive. Or, you can always take a day or two each week to review the week's incoming and sent messages, deleting those messages which are no longer needed or relevant.
